Convert Microsoft Word files into PDF documents with Office 2007 The main advantage of a PDF document is that it retains the same layout and presentation of its contents and is protected from changes as to how it appears. To convert a Microsoft Word document into a PDF document using Microsoft Office 2007, you’ll need to download an Add-in from the Microsoft website, which is available for free download. This Add-in is called Microsoft Save as PDF or XPS and can be downloaded free from this link from Microsoft site.

This add-in allows you to export and save the documents in any of the eight  Microsoft Office 2007 programs to the PDF and XPS formats. It also allows you to send such a document as e-mail attachment in the PDF and XPS formats in these Office 2007 programs. These eight supported Office 2007 programs are as under:

  • Microsoft Office Word 2007
  • Microsoft Office Excel 2007
  • Microsoft Office PowerPoint 2007
  • Microsoft Office Publisher 2007
  • Microsoft Office Access 2007
  • Microsoft Office InfoPath 2007
  • Microsoft Office OneNote 2007
  • Microsoft Office Visio 2007

How to install this “Microsoft Save as PDF or XPS” add-in?

Once you download this add-in from this link from Microsoft site, save it to your hard disk (the downloaded file name is SaveAsPDFandXPS.exe). Now, double-click on this file from its saved location to start the Setup program, and thereafter follow the on-screen instructions to complete the installation.

How to convert (or save) Microsoft Word documents into PDF files using Office 2007 and the above add-in?

Once you’ve successfully installed the aforesaid add-in, now it is very easy to save your Word files into PDF documents (or as XPS documents) directly from within the Microsoft Word 2007. This method will work also for documents in other Office 2007 product detailed above, such as Excel and PowerPoint documents.

For doing so, start Microsoft Word 2007 (or Excel 2007 or PowerPoint 2007). Open the document which you want to convert into or save as PDF document. Now, select Save or Publish to PDF or XPS from the File menu.

It is as simple as that! Your Word document is now in the PDF format.
