
If you want to send a Microsoft Word document to someone, that contains certain specific fonts, it is always advisable to include / embed the fonts in your document itself. This is so because the person with whom you want to share this document, may not have those particular fonts installed on his computer. In the absence of those fonts existing on his computer, Microsoft Word will try to substitutes those fonts with some other fonts that can make your document look entirely different from how you designed it. This is more so true if your document contained those fonts for some special effect or design. However, if you embed those fonts directly inside the document, the person who receives that document would be able to view it with the same fonts as your document originally contained and the document will appear as it was designed at your end. Word makes it easy to embed TrueType fonts in a document, though it may not be possible to embed all TrueType fonts since it depends upon the settings/options set by the person who originally designed the font concerned as to whether the TrueType font can be distributed like this.
To embed TrueType fonts in your Microsoft Word document, proceed as under:
(1) If you’re using Microsoft Word 97, Word 2000, Word 2002, or Word 2003, click on Tools menu and then click on Options.
If you’re using Microsoft Word 2007 version, click on the Office button and then click on Word Options.
(2) Options dialog box will appear on the screen. Select the Save tab. It will now appear as under:

(3) Select the Embed TrueType fonts check box, i.e., the check mark should be placed in it.
(4) Since this may also embed the common System fonts, which are generally already present on most computers, you need not include the System fonts in your file and this way it may help you to keep the size of your file small. Therefore, select the Do not embed common system fonts check box, if not already selected by default.
(5) Also select the Embed characters in use only check box if you’ve a few characters in a particular font. Otherwise, let it remain unchecked.
(6) Now, click on OK to close the Options dialog box.
That’s it! Now, your document will have embedded TrueType fonts. So, your friends who receive your document will be able to see it in the same fonts in which it was designed by you.
