November 19, 2009, Category: Software

Microsoft Office 2010 Beta version is available for free download Microsoft has released the Beta version of its latest Microsoft Office 2010, that includes a total of 10 products, namely, Word, Excel, PowerPoint, Access, Outlook, OneNote, Publisher, InfoPath, SharePoint Workspace, and Communicator. The most popular product in the Office 2010 suit will of course be Microsoft Word 2010, as always. You can download the Beta version of Office 2010, as expected, free of cost, from Microsoft’s official site; the download will also include Beta version of Word 2010. In this article, I am discussing about the main 10 benefits of the latest Word 2010 version over the earlier versions of Microsoft Word, which you can now use free in its Beta version. This Beta version can be used till October, 2010, that means for about one year.

(1) Co-author a Word document and work simultaneously with others on the same document:

In Word 2010, several persons can work together on a single document. Co-authoring of a document allows you to edit documents and share ideas with other persons at the same time. You can also view the availability of other persons who are co-authoring a Word document with you and easily initiate a conversation with them without leaving Word.

(2) Access your documents across multiple locations and multiple devices:

Word 2010 allows you to easily put your documents online and then access, view, and edit them from any computer or laptop or even from your Windows Mobile based smartphone. Thus, you can access your documents across multiple locations and multiple devices. It may be pointed out that Microsoft Word Web App allows you to edit your documents directly in a Web browser when you’re not in your office or home; and you get the same quality. Likewise, Microsoft Word Mobile 2010 allows you to use an enhanced mobile version of Microsoft Word specifically suited to your smartphone.

(3) Quickly and easily find words and expressions in a document and directly access any individual result:

This is a much needed update in Word 2010. In earlier versions of Word, when you search a word or expression in a document, you can go to the individual results only one by one in a sequential order. However, Word 2010 now changes that and enables you to locate and find the information you need in a document in a much faster and easier way. When you use Find feature, now you’ll be able to view a summary of search results in a single pane, and you can go to any individual result directly by clicking on a result. The improved Navigation Pane shows you a visual outline of the document, using which you can browse, sort, and find information quickly. (4) Recover unsaved draft versions of recently edited documents:

Sometimes, we accidentally close a document without saving it, and then suddenly we realize that we had not saved the document. So, all our unsaved work gets lost. However, Word 2010 allows you to recover even such unsaved draft versions of your recently edited document much with the same ease as you open a regular document. This can help you recover your unsaved work.

(5) Use Word 2010 with different languages for translation, displays, etc.:

Support for different languages is greatly enhanced in Word 2010. You can easily translate a word, a phrase, or a full document. It allows you to set separate language settings for Screen Tips, Help content, and displays. Moreover, you can get additional assistance for English as a second language with English text-to-speech playback. This feature can be very handy indeed if you use more than one languages.

(6) Decorate your document with more visual effects for the text:

Word 2010 allows you to easily apply formatting effects such as shadow, bevel, glow, and reflection to the text in your document much in the same way as making the text bold or underline. Have a look at following sample visual effects:

Many of the effects that were used for images are now available to both text and shapes. This way you can coordinate all of your content with the same type of visual effect. Moreover, even if a text has visual effects, you can spell-check it.

(7) Use SmartArt Graphics to convert text into visual diagrams:

You can select from a large number of additional SmartArt Graphics to build nice-looking diagrams just by typing a bulleted list. You can easily use SmartArt to transform basic bullet-point text into impressive visuals. Have a look at the following figure:

(8) Special picture effects without additional photo-editing software:

Word 2010 provides new picture-editing tools using which you can add special picture effects to your document without using any additional photo-editing software. This allows you to easily adjust pictures with color saturation and temperature controls, make precise cropping and image correction. Thus, your Word document can now have visual impact like a work of art. See, different color effects applied on the same picture in the following figure:

(9) Inserting screenshots and handwriting in your document:

Word 2010 enables you to directly capture and insert screenshots in your document, if you need some visual illustrations in the document. Moreover, when you use a tablet-enabled device such as a Tablet PC, you’ve got improved tools for formatting ink as easily as you format shapes.

(10) Improved user experience to do things easily:

Word 2010 has further simplified the way you access various features of the software. The traditional File menu has been replaced with a new Microsoft Office Backstage view; this will enable you to save, share, print, and publish your documents with just a few clicks. Moreover, with the improved Ribbon, your favorite commands in Word can be accessed more quickly by customizing tabs or creating your own to personalize your work style.
